Assigning Production Team Members to an Order
When the Account Executive enters a new order they assign a Production Manager, and when the order is submitted the Production Manager is notified and a new production task will appear in their “My Task”.
To take action he "clicks" into the order and views the Assignments screen where he finds the creative instructions provided by the AE.
If there are questions or the need to clarify something about the order the Production Manager can use the chat bubble on the right side of the page to contact the AE (and/or any member of the team), and ask questions or clarify order details as needed. All chats are logged and remain, in context, with the order. |
With a feel for what's needed, the Production Manager turns to the Team Members section of the Assignments page.
Here he finds the people and the roles they can play in fulfilling the order.
For this particular order, we need a script to be written and have a few writers to choose from. We also need a VO to voice the spot and a producer to produce the final recording. We also need a Dubber to dub the final recording in the station’s automation system.
These roles can be assigned to different team members or all roles can be assigned to one team member.
The Production Manager makes the assignments - indicated by a bubble that's been "clicked" and filled in blue - then hits "Submit." In doing so, PromoSuite Production sequences the tasks required to complete the order and notifies each person that has been assigned a task. A new task for this order will now appear in their “My Tasks”. Note: These Roles were assigned when these Users were added to PromoSuite Production. Roles and privileges can be updated by a Market Administrator.

Auditioning Voice Over Talent Prior to Assigning VO tasks
One feature available in Assignments is the ability to audition VO talent prior to assigning them to a task. This comes in handy in situations where you may have new unfamiliar VO talent to your production team or when you share production resources with other entities. |

Assigning Tasks to Multiple VO Talent for Multi-voice scriptsIf an order calls for a multiple-voice spot to be produced you can accomplish this by taking the following steps: Step 1: Write a multi-voice script in the Script text box. |
Step 2: Select the individuals you would like to voice the spot.
You can select more than one VOICE talent. In this example, Kate and Evelyn have been assigned a Voice task. After completing all assignments, hit SUBMIT.
After completing all assignments, and once the script has been approved, the order will move to the Voiceover step. Each of the VO talents will find a new task for this order in their My Tasks.
After clicking on the order, the VO talent will see the final script with the parts they need to record. Just above it, they will see an area where the recording for that part is to be uploaded. If they will not be recording it themselves and uploading but will be recording with a producer, they can check the “Recording with Producer” checkbox. The track can be added by the producer. Hit SUBMIT to complete the task.
How To Change Order AssignmentsIf resources are tight or suddenly unavailable, the Production Manager can change the order assignments so he or someone else on the team can complete the tasks required to fulfill the order. To re-assign a task, simply click on the “Production Queue” in the left navigation. Search for the order you would like to modify. Then click on the order. |
Once in the order, navigate to the ASSIGNMENTS tab and click on it. This will take you back to the assignment step. Click edit at the bottom to be able to make changes.
Then select the person and role you would like to unassign and replace with the new person you would like to assign the task to. In this example, we have removed Evelyn and assigned it to Pete. Hit SUBMIT to complete the re-assignment.
